Event journey: before, during, after

Stop 54 of 58 · about 7 minutes

Can the two-week reminder, the one-week reminder and the day-of message send themselves, and stop if someone cancels? Event reminders are the emails staff forget on the busiest week. The Event journey counts down to each person's event date and checks for cancellations at every step.

Event journey: Adventure awaits, a Cancelled? check, the 2 weeks before event loop, the 1 week split, Prepare for the day, and the Last comms loop with its daily date check and Have a great time.

The lesson

Event journey starts from New event sign ups:

  1. Adventure awaits email, then 3 days.
  2. An Audience Split, Cancelled?: cancelled people exit; the rest enter the 2 weeks before event loop.
  3. The loop is a Repeat Loop time delay and a split, Is today 2 weeks before event?: not yet goes round again; yes gets 2 weeks to event, then Fundraising ideas 5 days later.
  4. A 1 week wait, a 1 Week to event split, then 1 week to go and Prepare for the day.
  5. The Last comms loop: a Daily check of event date, a Day of event split, and Have a great time on the day. Cancelled exits at every split.

How to use it. This journey needs two fields on the participants table: the event date and the participant status. The date-check splits compare today with each person's own event date, so one journey serves every event all year. Replace the five emails with yours; keep the cancellation checks. Add an after-event thank-you as a sixth step if you want the Field Guide's From Guest to Giver ask to start here.

Quick check

How does this journey know it is two weeks before a person's event?
  • A fixed date set by staff
  • A repeating check that compares today with that person's event date
  • It sends two weeks after sign-up

Answer: A repeating check that compares today with that person's event date

Need a hint?

The loop is called 2 weeks before event, and it repeats until the date matches.

Why it matters

Every participant gets the same countdown, for every event, and nobody who cancelled gets told to have a great time.
